The Background

  • The investment deal manager focus is to manage the deal flow from idea generation through all stages (structuring, pricing, approvals etc) to exit

  • This is carried out by automating as many steps as possible whilst auditing actions taken by all team members including IC decisions and deals data

  • The deal manager supports in three main ways:

    1. Automating actions and tasks depending on user groups.

    2. Auditing approval/rejections by voting members.

    3. Capturing data fields dependent on memo types.

The Challenge

  • Legacy share-point and e-mail driven decision process, wasting the time of the investment professionals and the IC (Investment Committee)

  • Manually co-ordinated across all points including deal updates

  • Operational errors  and compliance issues also arose as a result

  • Pain Audit for IC investment committee not being tracked 

  • The potential impacts of an incorrect PRA submission required rigorous testing

The Approach

  • Art of the possible –  how to use machine learning and AI and sentiment analysis (at one stage take all the data collated for a deal and predict the common outcomes, showing what you can do in the future)

  • First, the team identified the inputting of the deal into the system but looked at how it would look both from the Appian platform and other applications

  • Then, they considered the approval flow and who should take care of each section, giving them visibility of how a deal flowed over time – used Appian to integrate with the other systems including client app and legacy data warehouse

  • They looked at presenting the final data over a simple view and Appian create an IC memo  (one page of the total deal integrated with Sale Point)

  • Integrated the new system with SharePoint, data warehouse and client app systems 

The Impact

  • Automised 70-80% of the deal pipeline

  • 12 weeks for first delivery for an MVP, from deal creation to approval

  • Able to build dashboards and tasks to let users be aware of where a deal is in the current pipeline

  • Appian workflow from deal sourcing through approvals and execution to exit

  • Golden sourcing of deals

  • Capturing all events and updates
